Fuel Log Book (in MindMyAssets) - How to set up and use.

The Fuel Log Book system is a sub module of the Asset Manager Pro module in agCommander and also a module in the MindMyAssets 2 program.


Setting up your system to work with this module is quite simple.


1. Set up your fuel types under Configuration > Parts and Consumables > Fuels
Enter a fuel price if you wish. Use a standard price if you don't want to maintain the price of fuel as it fluctuates.

2. Set things up for each asset that you want to be involved in the fuel log book system under Configuration > Assets.
  • Optionally enter the Fuel Tank Capacity
  • Select the "Fuel Consumption Per" unit of measure 

PLEASE NOTE: The program will use the "Fuel Consumption Per" unit of measure as the label throughout the program for the field where Hours or Kilometres (or Miles) area entered or displayed. 


If you want to keep track of the fuel bowser or pump locations and be able to report on the total amount of fuel taken from each site, set up Fuel Locations.
Set them up under Configuration > Locations 

That's it.


Enter Fuel Log Book Records under Records > Fuel Log Book Records

Choose the relevant asset from the asset listing and click "Add"


Below you will see the benefit of configuring the asset well
The fuel type will default to the Type configured

The Total will default to the Fuel Capacity configured

Unit of Measure for usage will be displayed based on your setting for Fuel Consumption Per setting.

The Hours or Kilometres or Miles is calculated or derived automatically from previous records.

The Driver field is optional as is the Location 

On your mobile device in either Asset Manager module of the agCommander app or the MindMyAssets 2 app Look for this icon...

The form for entering fuel log records is shown below

If you have configured things well in the desktop application, default values will appear based on the configured settings of the asset selected.

There is a basic report available on the mobile app... 

... and a very comprehensive report in the desktop application under Reports > Tabular Reports > Fuel Log Book Report that will enable you to see

  • How much fuel a machine or vehicle has consumed over time
  • The total cost of all fuel used per machine or vehicle
  • The total fuel taken for use from each location
  • The fuel consumption rate of each machine or vehicle
  • The fuel consumption cost per Hour or Kilometre or Mile of each machine or vehicle

... by using the Group By and Summary options

And by using the Group By and Summary options, you can generate charts ... Here is a small section of the chart showing total Fuel and Total Cost for selected machines or vehicles


How to manage a mobile fuel tanker as a Fuel Location in the Fuel Log Book system.

Set up the tanker as an asset
Also set up the tanker as a fuel location
Record the filling of the tanker as you would record the filling up of any other machine or vehicle asset
... then use the tanker as the Location when filling up your machines or vehicles from that tanker.

When generating reports, filtering by selecting the tanker as an asset will give you the total fuel added to the tanker
Grouping the report by Location while generating the report for all assets will give the total fuel that was taken from the tanker.
